Board Meeting 9/9/19

  • Basic structure for board meetings that Ben came up with:
    • Take attendance to determine whether we have quorum
    • Any old/unfinished business, i.e. with committee stuff
    • Any new business
    • Wrapup/discuss what we need to get done for next week
  • Groupme/Discord for this year’s board
  • Board hours starting this week
  • Unfinished business
    • Fall record fair
      • We need to create Facebook event + flyer
      • DJ slots: it’s never too early to look into volunteer positions
    • Spring record fair
      • Dylan checked into it – doesn’t look like there are any other record fair events that day, and he submitted an EMS request
    • Jimmy Z Oldies Show event
      • Nov 2, 6 – 11 pm
      • Event is in Wallingford – not likely to garner much student interest
      • We can come up with a student price rate, but it seems like the only way students will go is if we offer a volunteering option
        • I.e. we can offer service hours
    • Security update 
      • Incident at Red & Black – turns out it was NOT the same guy who had harassed Ben and others in the parking lot before
        • The police apprehended him, and he’s been told he cannot be on the grounds anymore
        • Ben will forward a pic of him to the board
      • There is a chance that a fence will be put in around the lot to prevent future incidents 
    • Bobbito event
      • Sep 17
      • Clifton suggested Usdan 108 – we want a large turnout
      • Dylan will look into booking the room through EMS
    • Public affairs standard is a long term goal; not discussing it now but will maybe form a sub-committee
    • Budget (SBC)
      • We need to form relationships with the SBC
      • If anyone has specific needs that require funding, let Ben or Carina know
      • Aditi Shenoy is in charge of SBC and just agreed to go on Cormac’s show
    • Ben resent email containing info about board emails, found some missing account info
  • New business
    • Training
      • Fall is a good time to think about what needs fixing
      • Should form a sub-committee to discuss longer term
      • Should also do some analytics to figure out turnover rate, student : community member ratio, etc.
      • Some possible ideas to revamp training:
        • Refine the test so that every question has a concrete answer that we can point to in the training materials
        • Formalize the internship process (i.e. maybe 1st internship: just observe; 2nd: can touch board, etc. and build up so it’s more systematic and trainees get more practical experience)
        • Conduct a survey after training to gauge feedback on what we can do better
        • Require fewer than 4 internships?
        • Extend training process over course of 2 semesters/seasons: either 1st semester/season for volunteering/service hours and 2nd semester/season for actual internships/training, or vice versa
        • Should emphasize the mission more & make sure everyone understands/embraces it
  • More upcoming events
    • Kehlani event (Dec 4) & Clifton is looking into putting on an event with Akua Naru
      • Had these same events last year; we’re looking to increase turnout this year, maybe even document & broadcast them
    • More opportunities too!
