Board Meeting 11/11/19

  • Board updates
    • MDs: sent board a demo of new MD newsletter
      • Upon approval from board, will probably send the newsletter biweekly to staff email, and will maybe work on partnering with the Argus for broader dissemination
    • PR: Amy will talk to Lulu this week about transitioning
  • Record fair
    • sold out plus short wait list! Thanks to Jen for her help on the streets drumming up interest and vendors!!
    • Can we line up 2-3 volunteers to help prep records for the move Thurs/Friday? (send to Ben M)
      • Dylan has people for this and will send to Ben M
    • Need more volunteers to get flyers all over campus and downtown, this week
      • Dylan will work on a flyer and ask Ben the best way to print 
      • Dylan has volunteers for this
    • Volunteers and cars lined up for Sunday? 
      • One Wesleyan OCS van lined up, plus Dylan will send an email to get 2 more volunteer cars for additional help 
      • We have 5 people to set up and 5 to clear it up as of now
    • Have we connected with campus and local social media to promote the show….?
      • Aural Wes, Wesleying? Argus, WESU FB, WES FB, INSTAGRAM, Middletown press? Middletown Eye?
      • There is a FB event, Amy invited people in her music circles and will post in all the groups this week, Dylan has been putting little memos on boards around campus…
    • Digital sign/display for rec fair in Usdan? What else can we do?
    • For vendors’ sake, we should be far more prepared for spring record fair (because a lot of people can’t come to fall one due to late notice…)
    • Food! Vendors really want food…. We should consider getting one pizza for our record fair vendors (JUST the vendors)…
      • Bon App in the past has been upset when we use external catering in Wesleyan spaces
        • Stipulations: we cannot sell anything, and we can’t provide food by anyone who is not a professional 
      • Dylan will talk to Ben about this issue during his board hours
  • 12/8 commemorative event
    • Name
      • Ben M proposes: “WESU 80th Anniversary All Staff and Community Roundup!”
        • Or “Rollcall” could work instead of “Roundup” 
        • The board has vetoed this… 
      • Cormac proposes: “Free Form Jubilee: Celebrating WESU’s 80th Anniversary” 
        • Or “Terrible no good very bad jubilee” something like that
        • Cormac is sending names to Ben M
        • Maybe throw “bash” as in “birthday bash” instead?
        • Board is more “on board” (haha) with these ones it seems
    • Are folks Ok with including a food drive and or a gift drive? or maybe a clothing drive?
      • Board says we should do one of these things
    • Also note, that while the event will be free to staff, BM suggests the process of admission is a donation to the fall pledge drive (of any size) and/or a donation for food drive (or whatever other cause we land on if anything)
      • Board agrees with this
      • We should establish venmo as form of donation payment 
    • Need to go check out the venue and figure out how to make our event work there!
    • Ben M is finalizing the lineup and aims to solidify the info for PR, while working from home tomorrow
      • Time is short but… in addition to on air advertisements and FB etc, We will be able to market this event to our donors in our pledge drive mailing
      • Getting students to event should be top priority
      • Will create FB event as soon as we establish a title
    • Food for event:
      • who is going to start lining up food donations? We are seeking easy keeping finger food type stuff, spring rolls, samosa, cupcakes, Pizza, stuffed breads etc… (Try Typhoon, Havelli, ION, Pizza, Red and Black, and the places you frequent and are friendly with!)

    • Just making sure everything is in place for record fair (primarily Dylan, Amy, Jen)
    • Victoria and Ben S not here, but we will check in about training and Thanksgiving break programming, respectively
    • We will start on heavy promotion of 80th event once we have title!
