Board Meeting 9/30

Board Meeting 9/30/19

  1. Open meeting
  1. Attendance
    • Everyone here except Amy, Ben M.
  1. Unfinished Business / Committee Reports
    • Record Fair
      1. FB event?
        1. Ask Amy when she gets here
      2. Second flyer?
        1. Also: Ask Amy when she gets here – but also whoever else can help would be welcome!
      3. Promos (I forget if we discussed this previously)
        1. Luke: there are 3 new ones and they are circulating right now
    • PR
      1. Updates! We need FB event pages for each upcoming event we have scheduled.
      2. Also still need a press release announcing our new fall season 80 and 80 year celebration.
    • Training
      1. Starting this Thursday (6-7 Thurs, 5-6 Sun (but this Sunday 430 because of staff meeting))
      2. Have ~40 people currently signed up to training
      3. This week: looking over training manual, mission statement, history of WESU, etc.
      4. Thurs: Jen & Carina can come; Sun: Gina & Dillon can probably come
      5. History listed on website (by Leith) > history in manual – trainees should read website version
      6. Training manual & written exam must be updated!
        1. Ex. History of station, code of conduct stuff (ex. Don’t burn things in the studio / station)
      7. May be good idea for Victoria to assign board members to specific training dates/make a Google sheet to coordinate it all
      8. Also internships & service hours: Victoria will send out info on this after first training session
    • Program
      1. Program done! Need to be sent to print ASAP!
      2. A couple tweaks need to be done, then Ben S. will send to board, and then to printers very soon
    • Executive Meetings
      1. 2 competing time slots
        1. 4:30pm Wednesdays vs 5:00pm Fridays
          1. Ben is only able to stay for half an hour on Wednesday, Friday might be the better option during Ben S and Dillon’s board hours?
          2. Carina hosts WWL 5:05-6:30 on Friday’s…
          3. 4:20 on Wednesday’s is when it will be! It is final! Yay
    • (Board has retired to executive session to discuss unfinished business from last week’s board meeting…)
  2. New Business
    • Program
      1. Updates? How has it been going so far?
    • “Homegrown celebration”
      1. Discussion on concept: A celebration of 80 years of DIY music art and culture at WESU?
        1. I.e. CT music, Wes music…
        2. So that we’re not focusing on/promoting one show so much… but we could still mention Homegrown show’s award (but we should not call it “Homegrown”)
          1. Possible name: “Connecticut Connected”
      2. Need to find a date and venue asap
        1. Date
          1. Fri Nov 8 or Fri Nov 15 (same weekend as Record Fair) are the 2 dates that Beckham is free
          2. Other option is to delay it til spring season (and it just wouldn’t be explicitly about 80th anniversary)
            1. Board has voted: we’re going to do this event in the spring, so we’d have much more time to plan and make it truly spectacular
            2. Possible date: Apr 18 (when we were considering doing record fair before decided on Apr 4th event)
        2. Venue
          1. Beckham is best option for this sort of event
          2. Also can do community center
      3. Possible acts: student band, ct indie band, ct troubadour (rnb singer) and perhaps one more band (maybe reggae?)
        1. Depending on setup, if we could potentially feature a song or two from guest musicians (like state troubadour) and singers between sets. If we do this 2 bands is likely enough.
    • Sunday staff meeting
      1. Staff Photo!
        1. Ben M is working on getting a university photographer.
        2. Currently have 5:30-5:40 call for a 5:45 photo
      2. Attendance will be kept
        1. Amy will cover on 10/6
      3. How can we make these more engaging for staff?
    • Personnel Matter Updates
      1. In terms of various code of conduct violations moving forward:
        1. We should consider keeping personnel files (i.e. “considering probation” list), and at board meetings, we can authorize warnings to specific people, and then move forward if necessary…
        2. There are a handful of people who simply disregard the rules, and as a board we should consider cracking down…
  3. Other Updates
    • MD’s have update on newsletter coming soon…
  4. Round Up
  5. Close
