Board Meeting 10/7/19

    2. Program guide
      1. Big thanks to Ben Spencer! Good job getting it done and getting it to printers – should be done within the week!
    3. Events
      1. General events tasks
        1. Need a print flyer/rundown for with all the information for DJs and general PR. (who can do?)
          We also need web posts for these events on our website. (Amy G, do you have login access to the WESU wordpress site?)
        2. Press release, with most dates times and venues in place we also need a press release about our Fall Schedule and 80th anniversary plans for the Fall (with some notes about programming & events, inviting people to come out – all on the website!) This is Amy’s task
        3. Dylan will send out an email with the fall events schedule to staff… say “more info available on website
      2. Fall Record Fair
        1.  Jen and Ben M will be attending the Cromwell record riot in Cromwell, promoting our show, this upcoming weekend. Also have a couple other promotional trips planned for our record fair
        2. FB event is up and running – please invite folks and spread the word! 
        3. Still need to get this event listed on the rec fair websites. There’s 5-6 different resources we need to get it listed on… Ben M will take the time to do that tomorrow
        4. Vendor space still available!! There’s another show in Long Island on that day, but we should still do fine as long as we promote the event… 
      3. Jimmy Z Oldies Show
        1.  Can someone reach out to Jim to see if he has any ideas on what the station can do? 
          1.  Jen will do this
        2. Possible things we can do to help out:  ticket giveaways, on-air interviews with artists, merch table (we’d need staff members for this because students probably won’t attend)- On air interviews with the artists? 
        3. We need a Facebook event for this!
      4. Lecture event promotions
        1. We have the dates and venues locked in. Thanks to Rhea at JCCP, there is a flyer and FB event for AKua NAru.  She will create the flyers and FB events for the other lectures as well. Can Dylan or Amy follow up to make sure Rhea has all the info she needs?

          2. Someone needs to handle tech stuff for this – Ben is happy to do this but also if anyone else is interested let him know
          3. This is during our normal board meeting time… no board meeting next week but we will definitely do exec meeting on Wed the 16th

        5. Final 2019 staff meeting/commemorative event in DFC
          1. Need to book the DFC and/or Beckham (it’s not booked)
          2. Potentially combine staff meeting with commemorative Town and Gown Event to use grant money by end of year??
            1. This grant for this event requires us to spend this money before the end of 2019. We can either have an event after the students leave campus or try to figure out how to work this into our commemorative event planned for Dec 8th.  (hire a band or some solo performances to mix in to the program….
          3. Need to identify and invite dignitaries. 
          4. We also need to look into proclamations from city and state representatives. 
          5. Event would be free and open to the public – would be nice to get as many people as possible to the event & want to make sure it’s a community-oriented event
          6. Think about possible Wes musician acts too…
          7. Sounds like there’s consensus re: combining these two events… 
    4. Board job descriptions
      1.  Do we have a point person, organizing the revision process, who will also make sure to update the descriptions where needed? 
      2. When we brought it up 2 weeks ago, we said that everyone would just work on theirs and we didn’t need a point person
      3. Carina will create a Google Doc to keep track of/store updated board descriptions… and Dillon & Carina will tag team on this
      4. Leith has an updated version and so doe Jen on the PCs here
      5. This should be a semester goal for us
    5. “To be deleted” as seen on studio PCs
      1.  Still hoping we can find out who is behind this and prevent them from deleting files indiscriminately. Leith can you send an all staff email inquiry? Perhaps with the title “WESU -these files will be deleted” 
  4. New business
    1. Need to conceptualize and organize our 80th commemorative / year end and potentially make this our MCA town/gown event (see notes above)
  5. Other updates
    1. Still waiting for new network equipment from ITS
    2. Training
      1. what can we do to help? Revamping process? – DON’T FORGET, YOU CAN UNLOCK THE FRONT DOOR! (Just be sure to re-lock it when done)  
      2. Victoria is gonna send out another email about internships, etc, encourage more trainees to come on Thurs so they can see the station/so we can have a more even breakdown Thurs/Sun. If anyone has anything they could have trainees do during board hours, let Victoria know. This week, Ben S can come to speak about program (on Sunday). At next session, Victoria wants to go over freeform ideology adherence – if anyone feels strongly/wants to speak about it, come to training!
    3. SBC Budget process
      1. Carina is waiting on quote on PC’s, Spinitron v2, events info (if we’re going to include that). Dylan is going to double check about the $500 event price (let her know that that’s ¼-⅓ of our expected revenue for the day).  
    4. Exec board meetings
      1. 4:20 on Wednesday’s in the board room
    5. MD newsletter 
      1. To talk about new music coming into the station, direct DJ’s where they can find it, especially because blog is a bit defunct now it seems
      2. It would be sent to staff, but also could be interesting to partner with the Argus and/or Bil Revell to disseminate the content further because it could just be really cool
      3. Also should copy and paste onto MD blog, because we don’t want to abandon the blog
